Winter Family Weekend Payment and Refund Policy
Below you will find our current Winter Family Weekend Payment and Refund Policy. Please read it carefully as this is the official policy in-force at the date and time of purchase. If you have any questions or comments about this policy, please do not hesitate to contact us.
Effective immediately, the following payment policy MUST be adhered to.
THERE ARE NO EXCEPTIONS, ALL individuals who ask United Church of God, an International Association (UCG) to do them the gratis courtesy of arranging for and helping to process their lodging or other activities fees for this 2011 Winter Family Weekend MUST READ, UNDERSTAND AND ADHERE TO THIS POLICY. Any exceptions must be evidenced by a separate written agreement with UCG to be honored.
All donations to the United Church of God are non-refundable.
Our policy is to collect payment on the date of the order. Purchases made too late to be collected at the time of the order, must be paid at the Winter Family Weekend prior to use of the purchased product or service and may be subject to at-the-door pricing.
The Church is not responsible for damages caused by accidents or injuries to attendees that are not caused by the Church or its agents. There may be a small amount of (secondary) "no fault" accident coverage available ($10,000 or less) for Church affiliated attendee injuries if they occur during Church sponsored activities, but because this coverage is so limited the Church encourages all attendees to also carry more complete medical/ health care insurance coverage of their own.
Hotel Charges
Any incidental charges for room use or amenity use while staying at the Great Wolf Lodge are the responsibility of your household and will be billed directly to you by the Great Wolf Lodge. This includes, but is not limited to, extended stay in the hotel beyond the reservation made with UCG, room service charges, arcade charges, telephone charges, and other hotel charges.
Refunds - Not Attending the Weekend
If you are not able to attend the Winter Family Weekend after having made a reservation, the Church`s home office may be able to issue a refund, but it might not be processed for up to 45 days of the end of the Winter Family Weekend. We may be able to issue a refund sooner if the cancellation occurs before December 17, 2011. Changes to your registration must be posted to your account online prior to December 17, 2011 or the refund will be subject to the Hotel Reservation Refunds and/or the Activity Refunds sections below.
Hotel Reservation Refunds
If payments for Winter Weekend 2011 at Great Wolf Lodge were made to United Church of God under its master account for payment by the Church to Great Wolf Lodge any refunds can be made by the Church, subject to Great Wolf Lodge`s Cancellation Policy (http://www.greatwolf.com/mason/faq/cancellations) and will be issued from the Church`s home office. Because of the logistics involved we need an extra 24 hours notice beyond what the Great Wolf Lodge requires. Any cancelation occurring earlier than 96 hours before scheduled (per your reservation request) check-in date and time or a no show will forfeit the first night`s room charge. If cancellation is further out than 96 hours from the scheduled check-in date and time (per your reservation request) refunds should be available from the Church if requested after December 17, but may be delayed up to 45 days. If reservations were not made through the Church any refunds need to come from the Great Wolf Lodge directly.
Activity Refunds
Changes to Winter Family Weekend activities requested online prior to December 17th, 2011 for which a deposit or full payment was made should be honored with a refund which can be requested at the UCG information desk at the Winter Family Weekend event (or by mail thereafter if there was a complete cancellation). Monies paid for activities cancelled on or after December 17th, 2011 will not be refunded.
